Terms of service

The agreement

These terms govern use of LeagueMgmt — this website and, once your league is onboarded, the LeagueMgmt application. For a paying league, the whole agreement is these terms together with our Privacy Policy and our Data Processing Agreement (which we provide to leagues and which covers how we handle personal information on the league's behalf). If the Data Processing Agreement conflicts with these terms about the handling of personal information, the Data Processing Agreement governs. By using the service you agree to these terms; a league administrator accepting them does so on behalf of their organization.

Who's who

The league (club or organization) is our customer and the controller of its members' personal information — it decides what to collect and is responsible for having the right to collect it. LeagueMgmt is the processor: we provide the software and handle that information only on the league's instructions, never for our own purposes and never sold or shared for advertising. Administrators, coaches, parents, and adult players use the service as the league's authorized users.

Accounts

Keep your login credentials to yourself and tell us promptly if you think an account has been compromised. One person per account; you're responsible for what happens under yours. You must be old enough to form a binding agreement (or have a parent or guardian do so for you).

Acceptable use

Use the service to run your league — not to send spam, harass people, or break the law. Don't try to scrape, reverse-engineer, resell, or overload the service, and don't upload someone else's personal information without the right to do so. We may suspend access that puts the service, its data, or other leagues at risk.

The league's responsibilities

As the controller of its members' data, a league confirms it has the authority and consent to enter the information it collects — including, for players under the age of majority (19 in British Columbia), the consent of a parent or guardian. Leagues are responsible for keeping their data accurate, for setting and honoring their own registration-refund policy, and for the conduct of the administrators and coaches they invite.

Fees, billing & setup

LeagueMgmt is a flat per-season subscription (billed season-by-season or annually), agreed with your league before the season starts; you can cancel anytime, with no long contracts. Setup and migrating your league in are included at no charge. Registration payments from parents go through Stripe directly into the league's own account — we never hold your money; Stripe's card-processing fees are passed through at cost and never marked up. If a subscription goes unpaid, we may suspend access after giving reasonable notice.

Your data & privacy

The league owns its data and can export it as CSV at any time, no permission needed. We handle personal information only to provide the service, under our Privacy Policy and, for leagues, our Data Processing Agreement — which sets out our security measures, our subprocessors (Stripe, Resend, Cloudflare, and our hosting provider), any cross-border processing, and how we'd handle a data breach. If you close your account, we delete your league's data after a 30-day grace period, except records we must keep by law.

Our software

We own the LeagueMgmt software, its name, and its content. While your subscription is active, your league gets a limited, non-exclusive right to use the service to run your league. You keep ownership of your data — you simply grant us the limited right to process it as needed to provide the service and as described in our Data Processing Agreement.

Service & liability

We work hard to keep the service available and your data safe, but no software is perfect: the service is provided "as is" and we can't promise uninterrupted availability. To the extent the law allows, our total liability for any claim is limited to the fees your league paid us in the twelve months before the claim arose. Nothing in these terms limits liability that can't be limited under applicable law.

Term & termination

You can cancel your subscription at any time. We may suspend or end the service for material breach of these terms, non-payment, or unlawful use — and either party may end the relationship with reasonable notice. On termination, export your data first; we then delete your league's data after the 30-day grace period, except records the law requires us to keep.

Governing law

These terms are governed by the laws of British Columbia and the federal laws of Canada that apply there. Disputes go to the courts of British Columbia.

Changes & contact
